RENEWAL OF SOCIETIES UNDER SOCIETY REGISTRATION ACT XXI OF 1860
Prior to 12-07-1996 the validity was not given in the registration certificate. It was introduced from the year 1996 by the then Registrar Shri Biswajit Bordoloi and for the purpose the Director of Printing and Stationery was requested to print some important provision of the Societies Registration Act XXI of 1860 along with validity in the body of the registration certificate.
Prior to 20-12-2001 the procedure of renewal of certificate of registration of society was not introduced as the Societies Registration Act XXI of 1860 is quite silent in this regard in respect of Assam. It was introduced in Assam from 2001 as per Govt. instructions issued vide letter No.FTX.185/2001/63 dated 20-12-2001.
Validity of certificate of registration is issued for a period of 3 (three) years. Hence, renewal is being done after 3 (three) years.
LIST OF DOCUMENTS
Required Documents to avail the service (Upload scanned copies of the original documents).
- Scanned copy of original registration certificate of the society.
- List of present excutive member of the society mentioning their Names, Address, Occupation, Designation and their specimen signatures along with an affidavit stating all Executive Members are genuine.
- Copy of the Resolution of the General Body meeting for renewal of the society, showing the formation of new committee and the list of signature of all the members present in the meeting.
- A copy of Annual Balance Sheet and Audit Report from Chartered Accountant or an Auditor from the date of last renewal/registration as accepted by the annual genenral meeting of the society.
- A copy of Utilization Certificate on the utilization of Government / Semi- Government /any institutional fund by the society (in case of a society, which had received any such fund during the period, prior to the date of the renewal application). Click Here to Download Form-3.
- Specimen signature with full name and date of all new executive members (Including the new President/new Secretary, new President/new Secretary, if any) on a plain paper. This is to be self attested.
- Brief Activity Report of the society with self authentication by the president and secretary.
- If the society claims that its office is situated on a land, owned by it, Proof of ownership of land should be furnished. If the office is situated in a rented building an affidavit from the house owner along with photo ID proof of the land owner should be furnished.
- Self attested copy of annual report of the society since the date of registration or of last renewal (to be signed by the President and Secretary).
- Bank Detail of the society such as- i) Bank Name ii) Account Number iii) IFSC Code. iv)Branch Name v) Type of Account.
- Certificate of authentication by three members of the outgoing executive committee whose signature shall be attested by a gazetted officer.
- Aadhar card of the members of the society.
- Pan card of the members of the society.
TIMELINE
- 17 (seventeen) working days, in case of the documents submitted are correct in all respects.
FEES & PAYMENTS
- Renewal Fee : Rs. 2500/-
- Fee for non-compliance of sub section 4B(1) : Rs. 2000/-
- Additional fee for delay in filling application for renewal : Rs. 2000/- per year
